What takes too much time in your business?

Pick a task to see how it usually runs today and what could change. Your team keeps the decisions.

Customer questions

Today
Your team answers the same questions on WhatsApp, phone and email all day. Messages that arrive after hours wait until morning.
With automation
Routine questions get an answer from your own prices, hours and policies. Details are captured, and anything unusual goes to the right person with the history attached.
Your team stays in control
Your staff handle complaints, exceptions and anything the rules do not cover.
Tools we might connect
WhatsApp Business, email inbox, website chat, a CRM, Google Sheets

Sales and quotations

Today
Quotes take a day or more because someone has to check prices and stock. Leads who hear nothing back buy elsewhere.
With automation
Each enquiry is logged and a draft quote is prepared from your current prices. Follow-ups go out on schedule until the customer replies or says no.
Your team stays in control
A salesperson checks every quote before it goes out and decides on discounts.
Tools we might connect
WhatsApp, email, an Excel price list, a CRM, accounting software

Orders and stock

Today
Orders arrive on WhatsApp and by phone, someone copies them into a spreadsheet, and stock counts drift from what is on the shelf.
With automation
Orders are captured once, checked against stock and customer details, and passed to your ERP or stock sheet. Low stock raises an alert before you run out.
Your team stays in control
Your team confirms large or unusual orders and approves customer credit.
Tools we might connect
WhatsApp, Google Sheets, a POS, Odoo or another ERP, M-Pesa and other mobile money
Tell us about this task

Payments and collections

Today
Someone checks M-Pesa, Airtel Money and bank statements against invoices line by line, then writes reminders one at a time.
With automation
Mobile money and bank payments are matched to invoices, and anything unclear goes to one review list. Polite reminders go out on the dates you set.
Your team stays in control
Your finance team clears exceptions and decides who gets more time to pay.
Tools we might connect
M-Pesa and other mobile money, bank statements or open bank APIs, QuickBooks, Sage or Odoo, Excel

Documents and approvals

Today
Staff retype details from invoices, forms and delivery notes, then chase managers for signatures by phone and email.
With automation
Key details are read from each document and checked. Requests go to the right approver in order, and every decision is kept with its date and name.
Your team stays in control
Managers approve or reject. Nothing that needs a signature is signed for them.
Tools we might connect
Email, scanned PDFs, Google Drive or SharePoint, an e-signature tool, accounting software

Field teams and jobs

Today
Jobs are assigned by phone, updates arrive as voice notes in group chats, and nobody can say which jobs are running late.
With automation
Each job goes out with its address and details, the team updates its status from a phone, and late or stuck jobs are flagged to a supervisor.
Your team stays in control
Supervisors set priorities and reassign work when plans change.
Tools we might connect
WhatsApp, a mobile form app, Google Sheets, field-service software, SMS

HR and admin requests

Today
Leave, onboarding and letter requests travel by paper and email. They take days because nobody can see where a request is stuck.
With automation
Requests are collected in one place and routed for approval, and the record is prepared. Whoever is holding a request up gets a reminder.
Your team stays in control
HR and managers make every decision about people. Automation only moves the paperwork.
Tools we might connect
Email, Google Forms or Microsoft Forms, HR or payroll software, Excel, WhatsApp

Reports for management

Today
Each week someone spends hours pulling figures from several systems into a spreadsheet. The report is out of date by the time it is read.
With automation
Figures are gathered from the sources you approve and a report arrives on schedule by email or WhatsApp. You get an alert when a number crosses a line you set.
Your team stays in control
Managers read the figures and decide what to do. You choose who sees which numbers.
Tools we might connect
Excel or Google Sheets, accounting software, a POS, your ERP, a simple dashboard
Tell us about this task

Appointments and bookings

Today
Staff confirm bookings by phone, clients forget appointments, and sometimes two people are booked into the same slot.
With automation
Bookings are confirmed automatically and reminders go out the day before. Clashes and cancellations go to a person to sort out.
Your team stays in control
Your front desk handles changes, special requests and anyone who needs a call.
Tools we might connect
WhatsApp, SMS, Google Calendar or Outlook, a booking system, your patient or client records system

Something else

Today
Your process is particular to your business, and no ready-made tool seems to fit it.
With automation
We look at how the work runs today and propose the simplest reliable fix. That may be a rule-based workflow, an integration, a small custom tool or AI.
Your team stays in control
You decide what gets automated and what stays with your team.
Tools we might connect
Whatever you use today, including spreadsheets, email and custom systems

Before and after, in businesses like yours

Everyday work in Kenya and East Africa, before and after automation. These are illustrative examples, not client results.

Illustrative examples, not client results.

  • A warehouse worker in a high-visibility vest scans the barcode on a stack of cartons

    Wholesaler, Eastleigh, Nairobi

    Before
Retailers send orders on WhatsApp all day. Two clerks retype them into a spreadsheet each evening, and some get missed.
    After
Each WhatsApp order is captured and checked against stock as it arrives. The clerks review a short list of unclear orders instead of retyping everything.
  • A hand reaches for a desk phone on a reception counter, beside a headset, a ringing mobile and an open call log

    Clinic, Kisumu

    Before
Patients forget follow-up visits, and the front desk spends its mornings phoning to confirm appointments.
    After
Patients get a booking confirmation and a reminder the day before. The front desk calls only the patients who ask to reschedule.
  • A hand holds up a phone showing a payment confirmation beside a green mobile-money kiosk, a matatu passing behind

    Private school, Nakuru

    Before
The bursar matches fees paid by M-Pesa, Airtel Money and bank to pupils by hand, then writes arrears letters one by one.
    After
Payments are matched to pupils automatically and unclear ones go to one list. Parents in arrears get a polite reminder on dates the bursar sets.
  • People queue at the counters of a banking hall while others wait on wooden benches

    SACCO, Meru

    Before
Loan applications arrive on paper at branches, and staff phone each guarantor to confirm, one call at a time.
    After
Members apply through a simple form, and guarantors confirm by SMS or WhatsApp. Credit officers review complete files only.

From your problem to a workflow that runs

Three steps. You can stop after the first one, and the first call is free.

  1. Step 1: Tell us the problem.

A short call about the task, how often it happens and where the information lives today.

You getA clear view of what is worth automating first.

  2. Step 2: We design the better workflow.

We map each step and decide what can run on its own. We also mark where a person must approve, and agree all of it with you in writing.

You getA written plan you have approved.

  3. Step 3: We build it and keep it running.

We test on a safe copy of your data and switch it on. After that, we can monitor it and improve it every month.

You getA working workflow, and support if you want it.

We work with the tools you already use

Spreadsheets and WhatsApp count. So do ERPs, banks and custom systems. If a tool has no API, we tell you what that means before you commit.

  • WhatsApp
  • Email
  • Excel and Google Sheets
  • M-Pesa and other mobile money
  • Bank statements and open bank APIs
  • Odoo and other ERPs
  • Accounting software
  • CRMs
  • POS systems
  • KRA eTIMS
  • Custom systems

Automation for your kind of organisation

A common first workflow for each sector. Every business is different, so we start from how yours works.

  • Wholesalers and distributors

WhatsApp orders captured once and checked against stock, with payments matched to invoices.

  • Manufacturers

Production and stock figures gathered into one daily report, with alerts when materials run low.

  • Schools

Fee payments matched to pupils, with arrears reminders sent to parents on the dates the bursar sets.

  • Clinics and hospitals

Booking confirmations and reminders, so the front desk spends less time on the phone.

  • Professional services

Client document requests and deadline reminders that run without anyone chasing.

  • Hotels and tour operators

Enquiries logged and quoted from current rates, with a person checking each quote.

  • Property managers

Rent matched to units, receipts sent, and repair requests tracked to completion.

  • Transport and logistics

Trip status updates from drivers, with delivery confirmations sent to customers.

  • NGOs

Field data captured once on a phone form and reused for donor reports.

  • SACCOs, MFIs and banks

Member requests and loan files handled faster, with deeper work for core systems and fraud monitoring.

When the project is bigger than one workflow

For banks, fintechs, NGOs and large organisations, we connect core systems, open APIs safely and test what goes live.

Work we have delivered

Several engagements are under NDA, so we describe our clients instead of naming them.

We are automating a service club’s processes in Tanzania on Odoo (in progress).

Four ways to work with us

Start small with an assessment, or hand us the whole workflow to run. No prices here; we quote after the first call.

  1. Automation assessment

A first call, then a short written map of what to automate first and why.

  2. Project delivery

We build one agreed workflow or integration, test it and hand it over.

  3. Managed operations

We run your automations for you, watch them and fix what breaks.

  4. Support retainer

Monthly time for changes, new workflows and help when you need it.

Questions people ask before they start

What kind of work can you automate?

Work that repeats and follows rules. That includes answering routine customer questions, logging orders and preparing quotes, matching payments to invoices, sending reminders, moving data between systems, and building scheduled reports. Some tasks need judgment every time; we say so and leave them with your team.

Do we need AI for this?

Often not. Many tasks are best solved with simple rules, a form or a connection between two systems. We use AI where it is the simplest reliable option, such as reading free-text messages or documents, and we tell you which approach we chose and why.

Do we have to change the software we use?

Usually not. We work with spreadsheets, WhatsApp, email, mobile money, bank statements, accounting software, Odoo and other ERPs, CRMs and custom systems. If a tool has no way to connect, we explain the options before you commit to anything.

What happens to the people who do this work today?

They spend less time copying and checking, and more time on customers and exceptions. Automation handles the routine steps. Your staff keep the decisions, approve anything that involves money or access, and can see what the automation did.

How much does it cost?

The first call is free. After it, we quote a fixed price for the build and, if you want it, a monthly fee for running and improving it. Some services publish a starting price on their own page.

What happens after it goes live?

You can run it yourself with our documentation, or we can run it for you. On a managed plan we monitor it, fix what breaks, report what it handled and make improvements each month. Your data and accounts stay yours.

Do you work outside Kenya?

Yes. We are based in Nairobi and work with organisations in 10 African countries. The first call is online, so it works wherever you are.

Do you take on bank and enterprise projects?

Yes. We build and connect core banking, payments, APIs and fraud monitoring for banks, SACCOs, fintechs, NGOs and large organisations, with a separate enterprise team and a technical discovery process. Start at the enterprise page.
